How We Use Your Data
Every piece of data we collect has a specific, limited purpose. We do not use your data for any purpose beyond what is listed below:
- Candidate data — to match candidates with suitable job openings, prepare candidate profiles for employer review, coordinate interviews, and manage the placement process.
- Contact form data — to respond to enquiries from candidates, employers, or partners who reach out through the website.
- Creator Partner data — to evaluate applications, onboard approved partners, assign LAN codes, track referrals, and process commission payouts.
- Institute Partner data — to coordinate placement drives, maintain MoU records, and manage ongoing partnership communications.
- Communication data — to maintain a record of interactions for service continuity and to resolve any disputes.
We do not use your data for marketing to third parties, profiling, automated decision-making, or any purpose unrelated to Luxen Workforce's recruitment services.
Storage & Security
All candidate and client data is stored in a private MySQL database hosted on Hostinger's servers in a password-protected environment. Access is restricted to authorised Luxen Workforce personnel only.
Resume files uploaded through the survey form are stored in a secured directory on the same server. Direct public access to these files is restricted via server-level configuration.
What we do to protect your data: Access-restricted database, password-protected CRM, HTTPS encryption on all pages, resume directory protected from direct public access, and no data shared with third-party tools or marketing platforms.
While we take reasonable and appropriate measures to protect your data, no system is entirely immune to risk. In the event of a data breach affecting your personal information, we will notify affected individuals within a reasonable timeframe.
Google Services
Luxen Workforce uses the following Google services in connection with this website:
- Google Fonts — Our website loads typography (Cinzel, Cormorant Garamond, DM Sans) from Google's font delivery network. When you visit our website, your browser makes a request to Google's servers to load these fonts. This request includes your IP address and browser information. Google's use of this data is governed by Google's Privacy Policy. Google Fonts does not set cookies or track individual users across sites.
- Google Search Console — We use Google Search Console to monitor how our website appears in Google Search results. Search Console provides us with aggregate data about search queries, click-through rates, and page indexing. Your Rights

We will respond to all data rights requests within 7 working days. There is no fee for exercising any of these rights.
Data Retention
We retain personal data only for as long as necessary to fulfil the purpose for which it was collected:
- Active candidates — data is retained for as long as the candidate is actively seeking placement through Luxen Workforce.
- Placed candidates — data is retained for 2 years after placement, to support any replacement guarantee claims or post-placement support requirements.
- Unsuccessful candidates — data is retained for 12 months from the date of last contact, after which it is reviewed for deletion unless the candidate has re-engaged.
- Client data — retained for the duration of the client relationship and for 2 years thereafter for record-keeping purposes.
- Contact form submissions — retained for 6 months from the date of submission.
- Creator and Institute Partner data — retained for the duration of the partnership and for 1 year after termination.
You may request early deletion of your data at any time by contacting us — see Section 08 for your rights.
Children's Privacy
Luxen Workforce's services are intended for individuals who are 18 years of age or older. We do not knowingly collect personal data from anyone under the age of 18.
If you believe that a minor has submitted their personal data through our website or forms, please contact us immediately at contact@luxenworkforce.com and we will delete the data without delay.
Changes to This Policy
Luxen Workforce reserves the right to update this Privacy Policy at any time. When we make material changes, we will update the effective date at the top of this page. We encourage you to review this policy periodically.
For active candidates, clients, or partners — material changes to this policy will be communicated directly via WhatsApp or email. Continued use of our services after notification of changes constitutes acceptance of the updated policy.
